It may be true that for most people, letter writing has been replaced by sending emails. However, businesses, large and small alike, still rely on letters for official purposes. Almost everyday, business letters are being sent left and right. This is why many companies still find it worthwhile to invest on custom envelope printing.
In sending business letters, it is only appropriate that envelopes must be addressed properly. This is part of business communication etiquette. Besides, your business envelope could be the first impression your recipient will have of you. So in addressing your envelope, it pays to observe proper professional manners. To get it right, here are some things for you to remember:
Start addressing your business envelope with your return address. It is important that you remember to include the return address so it would be returned to you just in case, say, your recipient may have moved to a different address without your knowledge. The return address is usually written in the upper left-hand corner. Be sure to compete your address, which includes the following details: your name, the sender; business department (optional), street address, city, state and the zip code.
Write the recipients business address in the middle of the envelope. Make sure to allot enough space in the upper right hand portion of the envelope for the postage.
The recipients business address may include either the name of a specific person or the name of the firm. Addressing the envelope to a specific person is a great idea to facilitate faster delivery, especially if it is a large company.
On the next line, below the name of the person (or the company) indicate the name of the specific department of the company. If the company has many divisions, writing the particular department would keep your mail from finding its way to the wrong destination.
Remember to include the street number and, unless there is not enough space in the envelope, make sure not to abbreviate important parts of the address to avoid delivery errors.
The city name is always written right before the state, with a comma separating the two. Dont forget to write the zip code.
No matter what type of envelope you use or whoever is the recipient of your mail, whether it is a prospective customer or a long-time supplier, address your envelopes properly.
Envelopes that are professionally addresses are sure to make a lasting good impression, aside from the fact that they can be sent easily and promptly to the recipient. Remember these tips when you address your own business communications. As noted earlier, the business envelope is the receiver's first impression of the sender. In business, first impressions are very important. This is why proper professional business etiquette must be observed when it comes to addressing a business envelope. While were at it, your envelopes should be made of quality stock and produced by a professional printing company to make sure that your envelope printing is well worth your money.
